In MyFundAccounting, there are a few options you can choose from to enter transactions. Which option you choose depends on the type of transaction you wish to enter. One such option is located on the Record Income/Expenditure screens: the Agency Collections code 6699. In this month’s article, we will discuss the purpose of the agency collections code and how it works.
 

What is the Agency Collections code?

The agency collections code ‘6699’ is a nominal code listed under Liabilities on the Nominal Accounts screen. It’s accessed via Record Income/Expenditure from the Income A/C and Expenditure A/C dropdown menus. Its purpose is to record transactions that wouldn’t normally fall under an organisation’s regular income or expenditure. Unlike regular income and expenditure codes, agency code transactions can’t be assigned to funds. This means any transactions posted against the agency code are automatically marked as ‘restricted’. Agency code transactions also have to be posted against an agency from the Agency dropdown as well as 6699. This prevents agency transactions from being reflected under income and expenditure or existing fund amounts on certain financial reports. Total amounts for agency collections can be found under the Liabilities sections on certain financial reports in MyFundAccounting. But there is also an Agency (Postbox) report users can view to see individual amounts posted under specific agencies. This can be found under Reports > Supplier, Grantors and Agencies > Agencies.
 

How it Works

  • Before posting agency transactions, you will need to set up agencies under code 6699. To do this, go to Create > Accounts Assistant > Suppliers, Grantors and Agencies, then select Suppliers, grantor, contacts, agencies (postboxes a/cs).
  • Users will be taken to a screen with a list on the left-hand side and two tabs with different information fields. The list is where existing suppliers, grantors, agencies and debtors/customers can be viewed. To add a new agency, select Add New in the top left corner.
  • On the Organisation tab, enter the name of your agency and then select the Agency tick box next to it. Then select Save at the bottom of the screen to add the new agency to the list. Please note the other information fields on the Organisation and Contact Information tabs are not required to create an agency. Filling them in is optional.
  • Upon creating your agency, you can begin entering transactions against it. To do this, go to Transactions and then select either Record Income or Record Expenditure.
  • On the Record Income/Expenditure screens, fill in the provided fields the same way you would with regular transactions. Then select the Income/Expenditure A/C dropdown menu and choose code 6699. You will then need to select the Agency dropdown menu and choose your new agency from the list. Once selected, choose Store and Post to enter the transaction into the system.
  • To view which agency transactions have been posted under each agency, go to Reports > Supplier, Grantors and Agencies > Agencies. After selecting the financial period and the relevant agencies from the dropdown menus, click Refresh, Preview & Export and then Preview. You should see a report listing each agency, their transaction information, and the total amounts and outstanding balances they have.
