In MyGiving.Online, you may encounter a single donor you’ve entered who’s had duplicated donor records created by accident. The duplicated records may also have separate donations input against them, causing issues when it comes time to claim Gift Aid. One solution to this problem is to manually delete the donations from one record and re-enter them against the other. But this can be time consuming, especially if there are a large number of donations to re-enter. Fortunately, MyGiving has a simple and easy resolution to this predicament: a feature that allows users to merge multiple donor records into one.

In this month’s article, we will be looking at the merging donors feature and how it works.
 

How it works

  • From the Donors dropdown menu on the dashboard, select Merge Donors to be taken to the relevant screen. A list of donor records will appear, along with a search box at the top.
  • Type the name, reference number or address of the donors you would like to merge into the search box. Then click the Merge tick box next to their records.
  • At the bottom of the list, there’s a dropdown menu labelled Select Merge To Donor. Click the dropdown menu and select the donor from the list whose record you want the data merged into.
  • After doublechecking you’ve selected the correct donors, click the blue Merge button to complete the merging process.
  • A warning message will appear to explain what will happen once the records have been merged. If you’re happy to proceed, select OK. A green textbox will then appear to confirm the records have successfully merged.

Why use the merging donors feature in MyGiving.Online?

As previously mentioned, this feature is useful for merging multiple donor records. This means you can merge more than one donor record into a single record if there are many duplicates. Additionally, once merged, the duplicated records will automatically be removed, meaning you won’t have to manually make them inactive. Alongside donations, merging donor records also carries over other information to be merged, including personal details, declaration and pledge information, login credentials and contactless card details. However, the main downside to using this feature is that it is irreversible once completed. So make sure to doublecheck you’ve chosen the correct donor records to merge into before confirming.
